How to Launch a Loyalty Program in 1 Day: Full Checklist

What to prep the day before

Not much — but don’t spend the morning on it:

11:30 – 12:00 | Break + coffee ☕

Seriously. Don’t power through — after 5 straight hours, quality drops.

12:00 – 13:30 | Physical assets

13:30 – 14:30 | Staff training

This is the critical part. If staff can’t use it, the program is dead.

Minimum training (45 min):

  1. How to scan a guest’s QR (5 min, hands-on)
  2. What to do if the guest isn’t registered (5 min)
  3. How to correct a wrong transaction (5 min)
  4. How reward redemption works (10 min)
  5. How to explain it briefly to a guest (10 min — role-play!)
  6. Common guest questions (10 min)

Tip: Give them a 1-page cheat sheet to keep under the counter. Top 3-5 situations on it.

14:30 – 15:30 | Soft launch: first live hour

Launch — but communicate only internally for now, don’t blast social media yet.

Staff job: Mention it to every guest:

“We just launched our loyalty program — scan the QR, get 50 welcome points.”

You watch:

  • How long does a signup take? (target: < 1 min)
  • What’s the reaction? (questions, friction)
  • Is staff confident? In flow?

If anything’s off: fix it now, not in the evening.

15:30 – 16:00 | First review and fine-tuning

Check:

  • How many signups in the first hour?
  • Where does the flow get stuck?
  • Any confusing copy?

Fix wording, card placement, anything that needs it.

16:00 – 17:00 | First automations

Set at least 2 automations:

  1. Welcome push to new members (1 hour after signup):

  • Which channel brought them? (window? table? staff mention?)
  • Any technical issues?
